Privacy Policy

1. What information is collected?

1.1. Online.

When you register, log in, and interact with us online, you may be asked to provide IPAMS with the following basic information:

  • Your name, address, and contact details

  • Your competence, skills, experience, and education

  • Your preferences on job, country of employment, and expected salary

  • Your user identity such as username and other details for authentication

  • Your PEOS Certificate Number

  • Documents you upload (e.g. Resume)

1.2. On-site.

If you are a walk-in applicant and do not have an online registration yet, submit your resume and fill out details in an application form with the same basic information as the mobile application or website.

If your application progresses, photocopies will be required for submission:

  • Government Examination Results/Professional Licensure Exam Results

  • Diploma/Transcript of Records (TOR) in High School or ALS and/or College

  • Previous Medical Examination Results

  • Employment or Training Certifications

  • PEOS Certificate

  • NBI Clearance

  • Passport

  • Record of active membership in SSS, Pag-ibig, and Philhealth

2. Your Consent

Your Personal Data will only be processed by IPAMS when you give us your consent. We may obtain consent from you personally in our office when you fill out the application form or electronically through the mobile application or website.

3. How does IPAMS use your information?

We practice high ethical standards in using the information you provide us:

  • For purposes relevant to your recruitment, placement, and employment with our clients/employers

  • When you seek employment with IPAMS as our employee

  • In compliance with laws and government regulatory requirements

  • To communicate with you for updates and queries

  • To perform and conduct due diligence for our transactions

4. Data Sharing

Only authorized personnel from IPAMS and its clients are allowed access to your personal data. IPAMS and its clients agree to use your Personal Data only for purposes mentioned in No.3. We prohibit our clients from unauthorized use of your Personal Information.

5. Retention and Disposal of Data

5.1. Where is your Personal Data Stored?

  • A physical copy of your registration and submitted documents are filed and updated as it is processed by the Recruitment Department, Operations Department, and the Employee Relations (ER) Department.

  • A soft copy of your Personal Information is stored in our database for manpower pooling and short-listing. Additional documents will be uploaded as your application progresses.

5.2. When is your Personal Data Retained or Removed?

Your Personal Data will be retained for as long as the purposes mentioned in No.3 are being fulfilled. In compliance with the Data Privacy Act, we have set the duration of safekeeping your personal data.

  • Online Application - Your online account will be removed in 30 days if your IPAMS online account has remained inactive for twelve (12) months.

  • On-site Application - Physical files will be disposed of within six (6) months if you remain unmatched for a job or employer.

  • IPAMS will require you to bring original documents for verification purposes.

  • All uploaded documents in the database will be deleted after twelve (12) months in the following circumstances:

    • When you personally and voluntarily withdraw your documents while processing is in progress

    • If you fail the medical examination (pre-employment and overseas)

  • If you resign/retire or are separated from IPAMS or its clients, your personal data will be retained for two (2) years.

  • All files will be disposed of after six (6) years from your employment date.

5.3. How is Personal Data disposed of?

Printed documents are shredded while data stored in the database are deleted.

6. Your Rights

Your rights are provided by the Data Privacy Act of 2012 (RA 10173), its Implementing Rules and Regulations (IRR), and other applicable laws:

  • Right to be informed

  • Right to access

  • Right to object

  • Right to rectification

  • Right to erasure or blocking

7. Security Measures

We employ a combination of organizational, physical, procedural, and technical security measures.

8. Change to the Privacy Policy

IPAMS reserves the right to update this Privacy Policy in order to comply with the Data Privacy Act of 2012 (Republic Act 10173), its Implementing Rules and Regulations (IRR), and existing laws applicable for the protection of its users.

10. Effective Date
